Prospective Student Checklist

This checklist is for prospective students and should be completed prior to being admitted to George Washington (GW) University. It is intended for prospective GW students who plan to use Department of Veterans Affairs (VA) education benefits and/or Department of Defense (DoD) Tuition Assistance (TA).

  1. Call the VA Benefits Hotline (800-827-1000) to discuss your education benefits.
    • Students approved for Veteran Readiness & Employment (Chapter 31) benefits should contact their Veteran Readiness Counselor (VRC).
    • If you cannot contact your VRC or do not have one assigned, please contact our VetSuccess on Campus (VSOC) counselor, Glenn Cassis, at [email protected].
       
  2. Using VA education benefits? Check WEAMS to confirm your program is approved. If your program is NOT approved, the VA will not pay for your courses.
     
  3. Using TA? Check TA Decide for a list of GW programs that accept TA. While TA can be used for many programs, only these military affiliated programs are eligible at discounted tuition rates.

  6. Contact GW’s Office of Military & Veteran Services (MVS) to speak with one of our School Certifying Officials for additional student support services (benefits, financial, academic, and/or disability counseling).
 

Admitted Student Using GI Bill®

This checklist is for admitted students approved for the Montgomery GI Bill® (Chapter30), Montgomery GI Bill® Selected Reserve (Chapter 1606) or Post 9/11 GI Bill® (Chapter 33) and should be completed 30-60 days prior to the start of the University semesterActive duty students may also use tuition assistance (TA) in conjunction with their GI Bill®.

  1. Check WEAMS to confirm your program is approved. If your program is not approved, the VA will not pay for your courses.
     
  2. Request a new/updated Certificate of Eligibility (COE) from the VA.
    • Call the GI Bill® Hotline (888-442-4551) or visit VA.gov to receive a copy (~30 days by mail)
    • Sponsors needing to transfer Post 9/11 GI Bill® to dependent(s) can do so by the VA or milConnect.
       
  3. Submit your COE, dated within the last 2 years, with your GWID to [email protected].
  4. Request certification prior to the start of each University semester via GWeb.
    How? Select Student, then Access Veteran Certification, then from the Student Records & Registration Menu tab, select Veteran Menu, and finally Veteran Certification Request.
    • Anyone 100% eligible for Post 9/11 GI Bill®  automatically qualifies for the Yellow Ribbon Program.
    • Requesting certification after the first Friday of the University semester may result in late fees, interest, and/or financial holds applied to your GW account.
    • Adding/dropping credits? You MUST notify our office within 30 days of the change so we can amend your certification to the VA.
      NOTE: Withdrawing (W) after the drop period may affect your benefit and/or result in a debt for you to GW. Please contact our office if you are considering a withdrawal.

Admitted Student Using Veterans Readiness & Employment (VR&E)

This checklist is for admitted students approved for VR&E (Chapter 31) and should be completed 30-60 days prior to the start of the University semester. 

  1. Check WEAMS to confirm your program is approved. If your program is not approved, the VA will not pay for your courses.
     
  2. For academic worksheet (if applicable), your GW academic advisor/program director/admissions team must complete all program-specific information and cost. Students can complete the following:
    • Tungsten Tax ID - 53019658406. There is no need for a separate Bookstore Tungsten Tax ID.
    • Facility Code - 31907109 (Foggy Bottom), 31927346 (Alexandria), 31927446 (Arlington), or 31831546 (Ashburn) 
    • SCO contact information - April Clark | 202-994-9570 | [email protected]
      NOTE: Send your completed worksheet to [email protected] if it requires an SCO signature.
       
  3. Work with your Veteran Readiness Counselor (VRC). They need to submit ONE authorization via Tungsten for tuition/fees, books, supplies, etc. and it MUST:
    • Be valid on/before the earliest class start date for the semester and end on/after the last class end date.
    • Have separate line items (if applicable) for technology items (laptop, hard drive, etc.) and transportation (parking garage pass, U-pass, etc.) with a specific/"up to" dollar amount. 
      NOTE: To avoid delays in processing, do not email authorizations using the SCO's personal email. Please contact our office if you/your VRC have any questions.
       
  4. Request certification prior to the start of each University semester via GWeb.
    How? Select Student, then Access Veteran Certification, then from the Student Records & Registration Menu tab, select Veteran Menu, and finally Veteran Certification Request.
    • Requesting certification initiates your request for a book voucher.
    • Requesting certification after the first Friday of the University semester may result in late fees, interest, and/or financial holds applied to your GW account.
    • Adding/dropping credits? You MUST notify our office within 30 days of the change so we can amend your certification to the VA.
      NOTE: Withdrawing (W) after the drop period may affect your benefit and/or result in a debt for you to GW. Please contact our office if you are considering a withdrawal.
       
  5. If you need help connecting with your VRC or have general VR&E questions, contact our VetSuccess on Campus (VSOC) Counselor, Glenn Cassis, at [email protected].

Admitted Student Using Survivor and Dependent Benefits

This checklist is for admitted students approved for the Dependents Education Assistance (DEA, Chapter 35) program or Fry Scholarship benefits and should be completed 30-60 days prior to the start of the University semester.

  1. Check WEAMS to confirm your program is approved. If your program is not approved, the VA will not pay for your courses.
     
  2. Request a Certificate of Eligibility (COE)/award letter from the VA. 
    • Contact the VA Benefits Hotline (800-827-1000) or visit VA.gov to receive a copy (~30 days by mail, sooner by email).
       
  3. Submit COE/award letter, dated within the last 2 years, with your GWID to [email protected].
     
  4. Request certification prior to the start of each University semester via GWeb.
    How? Select Student, then Access Veteran Certification, then from the Student Records & Registration Menu tab, select Veteran Menu, and finally Veteran Certification Request.
    • If using Chapter 35, enter the sponsor’s FULL SSN as the claim number. Fry Scholars should select Chapter 33 and note "Fry" in the comments.
    • Requesting certification after the first Friday of the University semester may result in late fees, interest, and/or financial holds applied to your GW account.
    • Adding/dropping credits? You MUST notify our office within 30 days of the change so we can amend your certification to the VA.
